Psychologist billing and reporting

Billing

Before you assess or treat an injured worker, you must have a written referral from WorkSafeBC in order to bill WorkSafeBC for services rendered. The referral letter will outline the services requested, reporting requirements, and billing arrangements.

Billable items

Only pre-approved treaments or assesments will paid. Missed appointments cannot be billed to WorkSafeBC.

Fees

To bill WorkSafeBC for your services, include only those fee items outlined in the Assessment and Treatment Agreements.

Faxing Invoices

Complete the Psychology Invoice for WorkSafeBC (MSWord 207kb) to bill for services rendered and fax the form to 604 276-3195 in the Lower Mainland or toll-free at 1 888-922-3299. Invoices and reports must be faxed separately. Invoices must be sent to these numbers to be processed.

Reporting

The following is a summary of the reporting requirements for each service.

Assessment reports
Reports must include:

  • Client's presenting symptoms
  • Psychological diagnosis
  • Explanation of causality of symptoms (especially in relationship to workplace factors)
  • Treatment recommendations

Treatment reports
When contracted to provide treatment to an injured worker, you'll receive a letter outlining the treatment parameters. The initial treatment report will outline the treatment goals and procedures.

The purpose of the treatment reports are to:

  • Measure progress towards the treatment goals specified in the referral letter and treatment plan
  • Discuss any need to modify treatment
  • Clarify aspects of the provision of services to the injured worker

All assessment and treatment reports to WorkSafeBC must be faxed to 604 276-3195 in the Lower Mainland or toll-free at 1 888 922-3299.

Disclosure Issues

Under the British Columbia Freedom of Information and Protection of Privacy Act (FIPPA), injured workers can request copies of their claim file, including all clinical reports related to assessment and treatment.

As a clinical professional you are expected to give feedback on treating an injured worker in your reports. Not only is this highly recommended, it is ethically appropriate. Your feedback should deal specifically with clinical issues and not with claims or compensation issues.

Limitations to disclosure
WorkSafeBC psychologists work closely with the FIPPA coordinators to recognize and address psychological ethics and legal standards. If a worker requests disclosure of his or her file, we need to determine whether such disclosure could reasonably be considered harmful to the worker or others, as there are some exclusions allowable under the FIPPA legislation.
